Private ChatGPT for your company: an assistant on your documents

A private ChatGPT answers staff from your own documents, cites sources and only reads what each person may see. Try an enterprise plan first, then build.

A private ChatGPT for your company is an AI assistant that answers employees from your own documents, cites the source of each answer and only reads what each person is allowed to see. You can get one from an enterprise plan of ChatGPT, Claude or Copilot with connectors, or as a custom internal assistant built around your systems.

#Key takeaways

  • Start with the enterprise plan you may already have: ChatGPT, Claude and Copilot all connect to company documents.
  • Permissions are the main risk: an assistant that respects existing access will also surface every file that was already overshared.
  • Every answer should cite the source document so employees can check it.
  • A custom assistant makes sense when documents are in Arabic, sit in systems without connectors, or must stay in a specific hosting region.
  • Keeping documents current is ongoing work; an assistant on stale policies gives confident wrong answers.

#What does an internal AI assistant do for employees?

It answers the questions people now ask a colleague or hunt for in SharePoint: what is the travel policy, which contract template applies, how do I process a return, what did we agree with this supplier.

Support teams feel it first; AI for support knowledge base agents covers that case. The most common reason these assistants disappoint is messy knowledge: duplicate policies, outdated pdfs and answers that only exist in someone's head.

#What are your options for a private ChatGPT?

There are two routes. The first is an enterprise plan with connectors: ChatGPT Enterprise, Claude for business or Microsoft 365 Copilot, connected to SharePoint, Google Drive, Teams or Outlook. The second is a custom internal assistant on a model you choose, connected to systems the plans do not reach and hosted where your rules require.

  • Enterprise plan: quickest to start, run by the vendor, a good fit for Microsoft 365 or Google Workspace documents in English.
  • Custom assistant: built for your systems and languages, hosted in a region you choose, with logging and approval rules you define.

We compare the two in more depth in is Copilot or ChatGPT enterprise enough, or do you need custom AI?

#Who can see which documents?

A well-built assistant only answers from documents the person asking is allowed to open. Microsoft states that Copilot only surfaces organizational data to which individual users have at least view permissions (Microsoft learn, checked november 2026). OpenAI said its ChatGPT connectors keep existing permission structures, so users only reach information they are already authorized to view (AI Business, june 2025).

The catch: the assistant inherits your permissions as they are. If a salary spreadsheet or an HR folder is shared with everyone, the assistant will find it faster than any employee could. Review sharing on sensitive folders before you connect anything.

#How do you make the answers trustworthy?

  • Citations: every answer links to the document and section it came from.
  • Scope: the assistant says it does not know when no document covers the question, instead of guessing.
  • Ownership: each document set has a named owner who retires outdated versions.
  • Feedback: employees can flag a wrong answer, and someone reviews the flags.
  • Security: test it against prompt injection, the first risk in the OWASP top 10 for LLM applications.

#What about Arabic documents and hosting rules?

Test with your own Arabic documents before you commit. Scanned Arabic pdfs, mixed Arabic and English contracts and Gulf dialect questions trip up tools tuned on English content. Ask in Arabic about an English policy and check the cited source.

Hosting is the other question. Under the UAE and Saudi data protection laws, where processing happens matters, not only where files are stored. If your documents include personal or regulated data, confirm the region where the model runs.

#When is an enterprise plan enough?

When your documents sit in Microsoft 365 or Google Workspace, mostly in English, permissions are clean and nobody needs the assistant to act in other systems. Switch it on for one department and measure use.

A custom assistant is worth it when documents sit in systems without connectors, such as an older ERP, Odoo or a document archive; when Arabic quality falls short; when data must stay in a specific region; or when answers must be logged and approved before they reach a customer.

#Where does Stennir fit?

Stennir builds custom internal assistants as part of AI implementation: one workflow running with real users, in Arabic and English, hosted where your rules require, with citations to source and a permission check on every answer. You pay for finished work. Managed AI Operations then keeps documents current, runs evaluations and improves answers, with a named owner.

If an enterprise plan fits better, Stennir says so. Getting staff to use a plan you already have is an AI training question, not a build.

We are

Stennir builds internal assistants on your own documents that cite sources, enforce permissions, work in Arabic and English and run in your chosen region.

We aren't

Stennir does not rebuild what your enterprise ChatGPT, Claude or Copilot plan already does well for your documents.

#What should an it or operations lead do next?

List the five questions employees ask most and where the answers live. Check sharing on HR and finance folders. Then take the free readiness assessment, see AI for customer support, or book a 30-minute call to test an assistant on your own documents.

#Common questions

Will employees see documents they should not?

Not if the assistant enforces the same permissions as the source system and those permissions are right. The risk is files that are already overshared. Review sharing on HR, finance and legal folders before connecting them, and test with accounts from different departments to confirm what each one can retrieve.

Where does our data stay?

With an enterprise plan, it stays where the vendor's region options allow. With a custom assistant from Stennir, it is hosted in the region your rules require, in accounts you own. You keep the documents, the logs and the off switch, whichever route you take.

Does it work with Arabic documents?

It can, but test it. Stennir builds and evaluates assistants on Arabic and English documents, including scanned pdfs and Gulf dialect questions. The evaluation uses your own documents and questions, so you see answer quality and citation accuracy in both languages before anyone relies on it.

How do we keep the documents current?

Give each document set an owner, retire old versions instead of keeping copies, and review the questions the assistant could not answer. Those gaps show which documents are missing or outdated. Without this, answers drift as policies change and employees stop trusting the assistant.
