How to speed up supplier onboarding without skipping checks

Let AI check each supplier pack for missing, expired or mismatched documents and draft the chase. A person approves the vendor record and verifies bank details.

To speed up supplier onboarding without skipping checks, let AI do the document checking: is every required file there, is anything expired, do the names on the trade licence, tax certificate and bank letter match. It drafts the chase to the supplier and a draft vendor record. A person approves the record and verifies bank details by phone, every time.

#Key takeaways

  • Onboarding is slow because of back-and-forth over missing and mismatched documents, not because the approval itself is hard.
  • A written checklist per supplier type is the first fix, before any tool.
  • AI is good at completeness checks, expiry dates and name matching across Arabic and English documents.
  • Bank details, sanctions and risk decisions stay with people, with a callback on every bank change.
  • If you add only a few suppliers, a portal form with mandatory fields and a checklist is enough.

#Why does supplier onboarding take so long?

A site manager needs a new subcontractor. The supplier emails a zip file: a trade licence, a tax registration certificate, a bank letter, an insurance certificate and a company profile. The licence has expired, the bank letter is in a slightly different company name, the insurance certificate is missing, and the Arabic name on the licence does not match the English name typed into the request.

Procurement emails back, waits, re-checks the new files, then finance re-checks the bank letter, then someone re-keys everything into the vendor master in SAP, Oracle or Odoo. Each round trip is a pause. Meanwhile the site manager is asking why the order cannot go out, and is tempted to buy from someone already set up.

Suppliers feel it too. In its supplier survey, HICX, 2024 reported that 98% of suppliers said communication with their largest customers needed to improve. Unclear, repeated document requests are a large part of that.

#What should an onboarding checklist contain?

  • The documents required by supplier type: goods, services, subcontractor, one-off.
  • For each document, what makes it valid: issuer, expiry, the legal name, stamps or signatures.
  • The fields that must match across documents: legal name, registration number, tax number, address.
  • Who checks what: procurement, finance, compliance, the requester.
  • The rule for bank details: verified by a call to a number you already hold, never one from the same email.
  • What triggers extra review: high-risk category, sanctions screening hits, a related party.

Send the checklist to the supplier with the first request, in their language. Most delays come from suppliers who did not know what you needed.

#What can AI check, and what stays with people?

AI reads each document in the pack, Arabic or English, scanned or digital, and checks it against the checklist: present or missing, valid or expired, names and numbers matching or not. It drafts one clear chase email listing everything still missing, instead of three rounds of partial requests, and prepares a draft vendor record for review.

People keep the decisions. A named person approves the vendor record. Finance verifies bank details by phone before the first payment and on every change. Sanctions screening results and risk exceptions are reviewed by whoever owns them today. AI never creates or edits a live vendor record on its own.

Onboarding packs also hold personal data: owners' IDs, signatories, contact details. Treat them under your data protection rules, such as the law listed on the UAE government portal, and decide where documents are stored and read before you build.

#When is a supplier portal or a checklist enough?

If you add only a handful of new suppliers, a written checklist and a shared mailbox are enough. If your ERP or procurement suite has a supplier portal, such as SAP Ariba supplier lifecycle, Coupa supplier portal or the Odoo vendor portal, make the fields mandatory and require uploads there. That removes most of the chasing without any AI.

AI helps when volume is steady, suppliers send documents by email and WhatsApp rather than through the portal, documents arrive in Arabic and English, and procurement is spending its days on completeness checks instead of supplier conversations.

#How does Stennir run this?

Stennir maps onboarding first, usually as part of AI consulting: the AI Opportunity Audit ranks five workflows, each with a cost and a payback case, and recommends one build. If onboarding wins, AI implementation builds the document checks and the draft vendor record into your systems, with a named approver and every check logged.

Arabic and English are fully supported, other languages on request. After go-live, Managed AI Operations reviews checks the team overrode and tunes the rules, with a named owner. For the related step after onboarding, see AI for approval workflows.

We are

Stennir builds the document checking and chasing around your own checklist, with a person approving every vendor record and verifying every bank detail.

We aren't

Stennir is not a sanctions screening provider and not a tool that adds suppliers to your ERP without a person's approval.

#What should a procurement lead do next?

Take the last ten suppliers you onboarded and count the round trips each needed and why. If most were missing or mismatched documents, write the checklist and test AI checks on those packs. See AI for operations, then take the free readiness assessment or book a 30-minute call.

#Common questions

What do you need from us?

Your current onboarding checklist, or the rules people apply from memory, a sample of real supplier packs, including messy ones, and access to the vendor master in a test setting. We also need the names of the people who approve vendor records and verify bank details, so the workflow routes to them.

Does it work with Arabic trade licences and certificates?

Yes. Stennir builds checks for Arabic, English and bilingual documents, including scans, and matches Arabic and English versions of company names using rules you approve. Unclear cases go to a person. Other languages are supported on request and tested on your own documents first.

Can it stop bank detail fraud?

It helps but does not replace the callback. It flags bank letters whose name does not match the licence and any change request to bank details. Finance still verifies every new or changed account by phone to a number already on file. No AI check should replace that control.

Where do supplier documents stay?

Where your rules require. Hosting is agreed in writing before the build: your cloud, your country or your existing document store. Documents, vendor drafts and logs stay in your accounts, you keep the off switch, and you decide what any model provider may retain.
